Manage your gift cards: status, resend and timeline

Updated · · 3 min read

Find any Giftora gift card, read its card and email status, resend the gift email, change the recipient, issue held cards and follow every step in the timeline.

Every gift card sold through Giftora is listed in Gift cards.

Find a card

  1. Go to Gift cards.
  2. Select a summary box at the top to filter: Needs attention, Waiting to send, Active or Deactivated.
  3. Or search by order number, for example #1001. Use Filter for Card status or Email status, and Sort for newest, oldest or send date.
  4. Select a row to open the card.

The Dashboard also lists cards that need you under Needs attention.

Card status

Status Meaning
Pending, Ready to issue, Issuing Giftora is creating the card in Shopify.
Issued The card exists in Shopify and can be used.
On hold Giftora didn't issue it automatically. Check the reason and issue it yourself.
Voided The order was cancelled or the card was refunded before it was issued.
Disabled The card was turned off and can't be used.
Refund to review The order was refunded in a way Giftora can't match to this card.

Email status

Status Meaning
Awaiting fulfillment Sent when the whole order is fulfilled.
Scheduled Sent on the date the buyer chose.
Sending Being sent right now.
Sent Accepted for delivery. This doesn't confirm it reached the inbox.
Failed It couldn't be sent. Select Send now or Resend to try again.
Paused Giftora stopped it until you choose what to do.
Cancelled Not sent. The timeline shows why.

Why a card is on hold

The card page shows the reason:

  • Setup not finished: the order came in before selling was turned on.
  • Test order: test orders on a live store don't issue real cards.
  • Paid with gift card: a gift card was used to pay. Issuing needs extra confirmation.
  • Payment risk: Shopify flagged the order. Check its fraud analysis in Shopify first.
  • Discounted: a discount lowered the price. If you issue it, the card holds the full value.
  • Recipient details: the recipient's email or send date isn't valid. Edit the recipient.
  • Other sales channel: the order came from POS, a draft order or another app.
  • Couldn't issue: Shopify didn't create the card. Select Try again.

To issue it, open the card, check the order, then select Issue gift card.

Actions on a card

The buttons you see depend on the card's status. If an action isn't available, the card page explains why.

  • Send now: sends a scheduled or waiting gift email right away, skipping the date or fulfillment.
  • Resend: sends the same gift link again to the same recipient. The card and code don't change. You can resend once a minute.
  • Edit recipient: change the recipient name or email, sender name, message or send date. Only possible before the gift email is sent.
  • Continue sending: restarts a paused gift email.
  • Disable: the recipient can't use the card anymore and unsent emails are cancelled. You can't undo this.
  • Keep card and Mark as reviewed: keep the card active and remove it from Needs attention.

Timeline

The Timeline on each card lists every step with its date: put on hold, issued, email scheduled, sent, failed, resent, recipient updated, order cancelled and more. It shows the latest 50 events. Use it to see what happened before you contact us.

The card page also shows the code (last 4 digits), value, current balance, expiry and a link to the card in Shopify.
